Job Description:

Job summary -To maintain a positive public image for Rosewood Mansion on Turtle Creek while managing and coordinating the needs of group and catering clients.

Essential Duties and Responsibilities – (Key Activities)

The following are specific responsibilities and contributions critical to the successful performance of the position

  • Develop a service strategy for each group/event
  • Negotiate pricing with client, upsell as appropriate, make concessions as appropriate, in collaboration with booking manager
  • Manage all aspects of each group event from initial detailing to actual event service and final billing
  • Engage client prior to, during and following event to ensure all needs are met and total client satisfaction is achieved
  • Determine needs of concessions for service recovery
  • Maintain complete working knowledge of all hotel accommodations, amenities, services and procedures to provide to guest/client prior to and during their stay, upselling whenever possible and selling services to clients
  • Cultivate and maintain a close relationship with all hotel departments to ensure the successful accomplishment of all established goals for guest service. Provide direction to various staff members to ensure guest services and requests are provided.
  • Coordinate with client to obtain all necessary details, including rooming lists, amenities, transportation, credit approval, culinary requirements, etc. prior to groups arrival
  • Maintain accurate documentation on all correspondence
  • Execute accurate, thorough and timely internal communication to ensure hotel staff is fully prepared for each group event
  • With sales managers, coordinate client communication on a routine basis to maintain relationship, secure referrals and rebook for future dates
  • Conduct internal group meetings and client “pre cons” on consistent basis
  • Conduct internal group “post cons” and client “post cons” as required
  • Function as a liaison between clients and hotel associates
  • Assist in marketing plan strategies and budgets
  • Achieve budgeted production goals for group food and beverage segment
  • Maintain awareness of market conditions and competitive set, and its impact on the hotel. Anticipate business needs with flexible planning.
  • Respond to client/guest requests in courteous, professional and timely manner
  • Participate in Group Rooms Control (GRC) meetings focusing on group leads and opportunities
  • Participate identified business and community networking events

Job Requirements:

Experience -

  • Minimum of 2 years hotel sales experience – luxury brand preferred

Education or Certification -

  • College degree required
  • Certified Meeting Planner designation preferred

Physical Requirements

  • Must be able to endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, lift up to20 pounds, and satisfactorily communicate with guests and co-workers to their understanding.
